TERMS AND CONDITIONS FOR REGISTRANTS & ATTENDEES OF THIS EVENT (“EVENT”):
Completing the booking form for this event constitutes a legally binding contract and our terms and conditions take precedence over those of any other organisation in every case.
PAYMENTS & CONFIRMATION OF BOOKING
All payments must be in USD or CAD. VAT may be applicable to purchases at the UK prevailing rate for companies based in the UK or where the event is based in the UK and in accordance with UK VAT guidance.
Once we have received details of your paid booking, we will send you an email confirmation and user area login details. If payment is not made at the time of booking, your registration will be provisional and confirmation will only be authorised when payment has been received in full, please contact [email protected] if you are unable to pay by credit or debit card at the time of booking.
N.B. We must receive payment prior to the conference date. If you have not received confirmation of your booking within 7 working days of the conference date, please contact [email protected].
Steel Media does not accept responsibility for the non-arrival of information.
SAFETY OF STAFF & DELEGATES
Please note: Any interaction with the general public poses an elevated risk of being exposed to COVID-19 and, despite all the precautions we have in place, we cannot guarantee that you will not be exposed while in attendance at the event.
To protect everyone’s safety at the event, we are following these guidelines, and by entering the venue you accept that:
– Attendees who have tested positive for COVID in the last 7 days or are presenting symptoms of COVID must not enter the premises.
– We will follow Government guidance in place at the time regarding COVID protection.
– We may provide hand sanitisers throughout the venue for the use of attendees.
– Attendance and tickets will be limited so that we can ensure physical distancing, in line with our safety measures. We will work closely with the venue to determine how many people are permitted in the building at any given time.
– Whilst not mandatory, attendees may continue to wear masks, especially when in enclosed or crowded spaces.
– The venue will be well ventilated, improving fresh air circulation in line with the latest guidance.
CANCELLATIONS & CHANGES TO BOOKINGS
All cancellations must be made in writing to [email protected] – and only deemed accepted if a confirmation of receipt is sent from Steel Media.
Cancellations made 60 days prior to the event (for which the booking applies) will receive a 100% refund minus a £25 admin fee.
Cancellations made within the period between 30-59 days prior to the event (for which the booking applies) will receive a 50% refund minus a £25 admin fee.
The company regrets that no cancellations are acceptable within 30 days of an event (for which the booking applies), and therefore no refunds are payable from this period up to, during or following the event, however a substitute delegate can be nominated to attend in your place.
Whilst the programme (“Agenda” or “Schedule”) is correct at the time of going to press, Steel Media reserves the right to make changes to the programme, location and/or speakers without prior notice. Such alterations may occasionally be necessary due to circumstances beyond our control. This may be the same for fringe events, meeting tables, as well as informal and formal networking areas which we may have to change due to the venue layout or availability, or legal requirement.
In an exceptional case, where circumstances force cancellation of the conference in its entirety, Steel Media will make every effort to refund as much of the conference fee to each paying delegate as possible, having regard for any irrecoverable costs of production for which Steel Media remains liable.
Steel Media is not liable for any consequential loss suffered by the delegate due to cancellation or postponement.
Views expressed by speakers are their own. Steel Media disclaim any liability for advice given, or views expressed, by any speaker at the event or in any documentation provided to delegates.
FILMING & PHOTOGRAPHY
Please note that for promotional purposes, there may be a professional photographer and video production taking place during the live events. As a condition of attending this event, you agree to being featured in any promotional photos taken at the event or at venues directly associated with the event – for example the Event Party or Speaker & VIP reception.
Although there will be photos and videos taken at the event by attendees for the purpose of promotion and publicity, Steel Media accepts no responsibility for obtaining authorisation from individuals that may wish for their privacy to be respected, as defined under the GDPR, and any requests for individuals to be removed, must be respected.
Overnight accommodation is not included in the registration fee. However, a reduced rate has been arranged at a hotel close to the venue, please check our website for more information.
DELEGATE ACCESS & DIETARY REQUIREMENTS
We make every effort to ensure that our events are accessible and enjoyable for all our delegates, and we can provide a vegetarian option for lunch.
If you have any other dietary requirements or would like to discuss any access or specific requirements you may have, please inform our Events team at the time of booking. Email [email protected].
DATA PROTECTION & PRIVACY
Steel Media recognises that your privacy is important to you. The information you submit to Steel Media, and at our conferences will be kept confidential and secure once received. The information will be processed by Steel Media or on its behalf under conditions in accordance with the provisions of the UK General Data Protection Regulation (UK GDPR).
By registering for this conference and disclosing personal information to Steel Media you consent to the collection, storage and processing of information in the manner described in this policy. Please note that your continued use of the Event websites and/or products and services constitutes your agreement to any changes to this policy and the website terms and conditions of use.
Steel Media will only disclose this information under one of the following circumstances:
where your consent has been obtained;
to fulfil our obligation for which you obtained your ticket;
where there is a legal obligation;
where there is a public duty; or
in connection with the assignment or transfer of all or any of its rights and obligations to any of its group companies or to any other third party.
What will we collect and how will we use it?
SM will process the information you have provided to us about yourself. The information that SM collects is limited to that which you have provided on the order form. The information is shared with SM by the third party ticketing supplier, Eventbrite.
The personal information that you provide will be processed securely for the purposes of administering the event, venue capacity, ticket revenue (if applicable) and to deal with any questions or complaints arising in relation to the event and to contact ticket holders in the event of any change to the event.
How long will we retain your information?
In order to collect feedback about this event, and to satisfy our legal requirement to have records related to income and activity we will retain your personal information for up to 8 years from the date of the last submission from you – or as required by law.
Please be aware that when booking a ticket for this event your personal data will be processed by the Eventbrite platform, which is a platform external to SM. Eventbrite is a separate ‘controller’ of your personal information which means that they are responsible for the collection and use of your personal information.
When your name and email address is transferred to SM, SM is a separate controller of that information and is responsible for the processing of the information that it receives.
Eventbrite currently stores the data collected from bookings such as these on a server outside the UK, in the United States. Eventbrite states that it participates in and complies with the EU-U.S. Privacy Shield Framework regarding the collection, use, and retention of Personal Data (from European Economic Area (“EEA”) member countries). Sharing your information
We will not share the personal information you have provided to us outside SM, except where you have given explicit consent, or as required by the law. We may share your name, title, twitter ID and company information only with other Event conference participants specifically for networking purposes. Should you prefer that we do not share this information please email [email protected] to opt out of this networking service.
Our lawful basis
SM has a legitimate interest to process your personal information to ensure that we can effectively administer our event and fulfil our obligation to deliver the event to you. We have carefully considered the impact on you and we will not use your personal information where the impact overrides our interests.
Your rights and more information
If you have any questions about how SM handles your personal information, or you wish to find out about your rights, please visit SM’s Privacy and Cookies Policy. You will also be able to find out more information about how SM processes your information and how you can contact SM’s Data Protection Officer. Where there is inconsistency between those documents and this notice, this notice shall prevail.
Please note that partner events running as part of SM events will follow their own data protection policy, not those of SM.
REFUSAL OF ENTRY
Steel Media, at its sole discretion, reserves the right to refuse entry, cancel tickets, or eject from the premises, any delegate that satisfies any one of the following conditions:
They are without the correct ticket or do not hold a valid pass
They are endangering the safety of other delegates or event staff
They are engaged to work for, or are acting on behalf of a competitor
They are circulating literature, assets, digital files or paraphernalia without Steel Media’s consent prior to the event
They have been given forewarning that they are not to attend, or have been previously banned from entry
They conduct themselves in an offensive manner or offend other delegates through their actions. e.g. drunk and disorderly.
Where refusal or rejection has been necessary Steel Media will not be liable for full or partial refunds of the ticket cost and under no circumstances will Steel Media be held liable for any consequential loss.
STEEL MEDIA BUSINESS NETWORK
By agreeing to these terms and conditions you are agreeing to being contacted via email with relevant offers and business opportunities as part of the Steel Media Business Network. Steel Media will not share your contact details with any third party without your consent. You may unsubscribe from these emails at any time.
CONSENTING TO THIRD PARTY CONTACT
From time to time, third party companies or organisations may work with us and ask to contact you directly by email, post or telephone for the purposes of sending you news, information and/or offers. Where this is the case, we will ask for your explicit consent within the order form process.
Steel Media is not responsible for the communications that come from these third parties.
THE MEETING PLATFORM
The online meeting platform is provided on an ‘as is’ basis and must ONLY be used by delegates of the Event. You must be registered with the system before benefiting from the functionality that it provides.
Once registered, you agree to your details being searchable and viewed by other users of the same meeting platform who may use this system to contact you to arrange a meeting. You are responsible for accepting or declining any invites for meetings that are created by users of the system.
In the case of digital events, whilst the system provides opportunities to communicate online, you may choose to meet outside of the virtual event. Doing so is strictly your own responsibility and you understand that Steel Media is not responsible for these areas.
In the case of live events, whilst meeting tables, rooms and points are provided at the venue, you may also choose to meet outside of the venue. Doing so is strictly your own responsibility and you understand that Steel Media is not responsible for these areas.
Steel Media will not be liable for any consequential losses, missed meetings or travel expenses incurred through you using the meeting system.
EVENTS RELATED COMPETITIONS
Entry and qualification to enter related competitions are strictly at the discretion of the promoters Steel Media.
Winners will be drawn and the winners will be informed at the time of the published deadline.
No purchase is necessary to enter.
The prize will be defined at the time, is provided on an as-is basis, and cannot be exchanged for the cash equivalent or for an alternative at the sole discretion of the promoter.
In the event of unforeseen circumstances Steel Media reserves the right to substitute any of the prizes for an alternative of equal or greater value.
By entering Steel Media competitions, and providing your contact details, you give Steel Media permission to email you with offers, information, news and event invitations that we feel may be of interest to you. You can unsubscribe from these emails at any time and we will remove you from further emailings.
Steel Media do not share contact details with any third party for marketing unless we have your express permission.
OFFERS & DISCOUNTS
From time to time, special offers and discounts may be applied to ticket purchases for a limited period of time and are made available strictly at the discretion of Steel Media.
VIP Upgrades (if made available as part of another activity or event ticket purchase) are subject to a limit on spaces, may only be applied ONE per company, must only be used against a full price ticket purchase and used in conjunction with a previously PAID FOR ticket.
Any discount or offer can be changed or withdrawn at any time, at the full discretion of Steel Media.
Purchase of a Pocket Gamer Connects Season Pass (“Season Pass”) is bound by the following terms:
The Season Pass is valid for use by the registered person only and may not be transferred, shared or used by anyone else to gain entry to the Events.
Season Passes are not valid until full payment has been received.
Each Season Pass covers standard entry to the digital version of each upcoming event listed at the time of purchase and may not be transferred to events outside of the current season unless at the absolute discretion of Steel Media.
The Season Pass covers entry to the meeting platform, the session talks, and gives you eligibility to apply for some fringe events according to strict criteria. Please note: This does not guarantee you access to the fringe events which may remain as invite-only or by application. Contact us for more information on access to fringe events.
In the event that a scheduled event is cancelled or postponed, Steel Media reserves the right to switch that Event for a suitable replacement of the same value or more.
Season Passes are non-refundable.
